e-Poster uploads, deadlines and format
IMPORTANT INFORMATION
- Deadline for registration and payment (to have your e-poster listed on the schedule, website and app) is 09th May 2026
- Deadline for receipt of your e-poster is noon 26th May 2026
- No changes accepted after 26th May 2026
- To upload your files, you login to your BOPSS account via the website. You need to have purchased a ticket for the scientific meeting to upload your e-poster files (you will not be able to upload if you do not have a valid meeting ticket)
- You cannot change authors or title or add / transfer your e-poster to someone else’s BOPSS account
- You may upload edited versions up until the deadline. Ensure you first DELETE your current files and then upload the new ones
- Failure to upload by the deadline will result in removal of your e-poster from the programme, website abstract listing and app
- Name both your PowerPoint file and the PDF using the same file name. Use the following format: 301-smith.pdf, 301-smith.pptx
- The file name consists of your assigned schedule number (not your abstract submission number) followed by your surname
- File upload size limit is 40MB
Upload – two files
- ONE slide PowerPoint created using a 16:9 ratio (widescreen) NOT 4:3
- ONE pdf copy of your PowerPoint slide
Slide Master Format
- PowerPoint only (not Keynote)
- Orientation = landscape
- Ratio: 16:9 (widescreen) NOT 4:3
- You may include video and / or audio on loops (please see below). Please note that the pdf version will not be interactive so upload an appropriate version
Content
Font – Limit the amount of text and ensure that the font size can be read from 1 foot away (if it can’t it’s too small)
Images – should be scanned at the highest possible resolution for optimal viewing
Video
- can be included
- maximum running time of 30 secs
- must be embedded into the slide
- set to run on a loop (there is no user control available)
Multimedia and Animation
- can be included
- e.g. animation on a chart or graph
- scrolling text can be included
- set to run on a loop (there is no user control available)
Audio
- can be included
- maximum running time of 30 secs
- must be embedded into the slide
- set to run on a loop (there is no user control available)
Internet / online content
Internet or html links CANNOT be included.
Saving & naming your files
Name both the PowerPoint file AND the pdf file with the same file name using the following format only – the abstract listing number you have been allocated followed by your surname (abstractnumber-surname.pdf/pptx)
Examples:
PDF file (.pdf) – 301-smith.pdf
PowerPoint (.pptx) – 301-smith.pptx
Good Practice for Producing an Electronic Poster (e-poster)
- Use PowerPoint only
- Create one slide in landscape orientation
- Set the slide to widescreen (16:9) ratio
- Keep each section brief and focused
For case series, studies, and audits, include:
Introduction, Methods, Results, Discussion, Significance / Conclusion
For interesting case reports, include:
History, Clinical Findings, Management, Result / Outcome, Conclusion
- Follow Mies van der Rohe’s motto: “Less is more”
- Use no more than 6 bullet points per section
- Avoid text wrapping and long paragraphs — this is not an essay
- Avoid using all uppercase, even for titles
- Ensure your text contrasts clearly with the background
- Use a plain background; avoid borders and decorative elements
- Include images scanned at the highest possible resolution
- Use charts and graphs, which are highly effective for posters
- Ensure legends and labels use a large, readable font size
- Include references only if they are readable — otherwise, omit them
Failure to upload your e-poster files noon 26th May 2026 will mean that your e-poster will NOT be included on the screens at the meeting, on the website and will be removed from the programme / meeting app. Once you have submitted your e-poster by the deadline it cannot be changed. If you have any queries or are unsure about any of the guidelines, please ask as we want your e-poster to be of the highest quality.
Guidance on Use of National Flags
To maintain professionalism and consistency across all presentations, BOPSS kindly asks presenters to follow the guidance below regarding the use of national flags in their slides or posters.
- Do not use flags to symbolise personal identity or nationality if it is not relevant to the institutional logo
- Use institutional logos where those are required
Important Considerations
Be mindful that flags can carry political or emotional weight, particularly during times of international tension or conflict. We encourage presenters to prioritise institutional affiliation and clarity over national representation. Presenters are responsible for the accuracy and appropriateness of any visual symbols used in their presentations.
Review and updates
This guidance will be reviewed annually and updated as needed to reflect global sensitivities and feedback from participants.
Cancellation or refund
If, after registering and submitting your e-poster, you cancel your meeting registration and receive any form of refund, please be aware that your e-poster will automatically be removed from the display screens, website, listings, and meeting app.
This policy is in place to ensure that only fully registered and participating delegates are represented in the official programme and that the scientific content accurately reflects those attending the meeting.
